September 2nd, 2013

Hello everyone.

[UPDATE] A PDF version of the migration process can be accessed here :

[UPDATE] Access to the old email server (alphavin) will be opened for as long as it takes for everyone to migrate their accounts. No need to rush the migration on the same day :)

The procedure to migrate your information (Emails, Calendar, etc) from your old account to the new Zimbra 8 is as follows:

1. Login to your old account

Beginning September 2nd 2013, users can log in to their old email account using ONLY this URL : http://alphavin.upsi.edu.my

When logging in, please use your email address as your username. For example, if your email address is ahmad@fsmt.upsi.edu.my, so your username would also be ahmad@fsmt.upsi.edu.my. Your password would be your existing password. For this demo, we will be using the account demo@ict.upsi.edu.my.

2. Export your account

Once logged in, click on Preferences, then Import / Export on the left-hand corner

Next at the Export section, click on the ‘Advanced settings’ checkbox.

Here you can select which data types to be exported. We recommend leaving it at the default selections. Once you’ve made your selections, click on the Export button.

Depending on your browser’s setting, you will then be presented with a dialog box asking you where to save the exported file to. If you can’t see this dialog box, please check in your browser’s setting on where does it save downloaded file (probably in C:>Users/yourname/Downloads). We recommend to save the file, which will be in the .tgz format, to your Desktop to simplify the import process.

ONLY select where you want to save the file, leave the filename and type as it is. Then click ‘Save’.

3. Import your account

Login to your new email account. Your username and password should be your existing ones. Go to Preferences > Import / Export.

At the Import section, click on the ‘Choose File’ button to select the file you wish to import to your new account.

A dialog box will appear asking you for the file you’ve exported before. Browse to that file, in our case it’s on the Desktop. Select the file and click the ‘Open’ button.

You will be back at the Import section. For a detail selection on items to be imported, click on the‘Advanced settings’ checkbox. We recommend to leave it as it is. If you’re finally ready to import your account, click on the ‘Import’ button.

Depending on the speed of your connection and the size of the exported file, the import process will take from a few minutes up to an hour. Please let the process finish before closing your browser! Wait until this popup appear:

You can then click on ‘OK’ and check your account for the imported items such as your emails, calendar appointments, tasks and etc. If all of them are there, then you’ve successfully migrated your account.

If you’re having troubles or questions on migrating your account, please feel free to call us at 05-4505827 or 05-4505869. We will gladly help you the best we can. Thank you and have a wonderful day.

The download speed for the export file is quite slow. Maybe you guys can look into that to speed things up a little bit. Too many people exporting perhaps :)

@nazre Thank you for the suggestion!

@KHAIRUL ASYRANI Yes, everybody’s exporting all at once, hence the sluggishness. We apologize for the problem.
